AI Automation, Agents and Process Transformation

Duration: 1 Day

Introduction

The next stage of AI adoption is process transformation: redesigning how work flows so that AI handles the routine and people handle the judgement. Rather than learning an automation tool, participants work on a real process they own, mapping it AS-IS and designing the TO-BE workflow. Each participant leaves with a documented process design and an estimated business benefit, ready to be presented to management.

Learning Outcomes

After attending this program, learners will be able to do the following:

  • Assess automation opportunities and select the processes worth redesigning
  • Map a process AS-IS and design the TO-BE workflow, defining where AI acts and where people decide
  • Specify decision points, exceptions, human checkpoints, and the systems and data required
  • Estimate the expected business benefit and present a process design for management approval

Key Content

Module 1 – Assessing Automation Opportunities

  • What makes a process worth redesigning
  • Volume, repeatability, rule clarity and data readiness
  • Processes that must be fixed before any tool is added
  • Processes that should stay manual, and why
  • Selecting the process to work on during the session

Module 2 - AS-IS Process Mapping

  • Mapping steps, systems, data and hand-offs
  • Identifying bottlenecks, rework loops and waiting time
  • Where information is re-entered or reformatted
  • Volume and time cost at each step
  • Reviewing the completed map with the trainer

Module 3 – TO-BE Workflow Design

  • Drawing the boundary between AI tasks and human decisions
  • Where AI drafts, extracts, classifies or summarises
  • Where a person must approve, judge or sign off
  • Agents and multi-step flows: what is realistic today
  • Sequencing the redesigned flow end to end

Module 4 – Decision Points, Exceptions and Risk

  • Defining decision rules and their thresholds
  • Handling exceptions and edge cases
  • Human checkpoints and escalation paths
  • Data confidentiality and system access risk
  • What must be in place before a flow runs unattended

Module 5 - Design Workshop and Capstone

  • Individual process design work with one-to-one trainer review
  • Estimating the expected business benefit
  • Structured peer challenge on each design
  • Preparing the design for management approval

Target Audience

This programme is designed for employees, executives, supervisors, and managers who want to understand and effectively use Generative AI in their daily workplace tasks. It is suitable for participants with little or no prior AI experience who wish to improve productivity, communication, and efficiency while using AI safely and responsibly.

Methodology

Facilitated workshop format. The day combines short instructional segments with guided individual design work: each participant maps and redesigns their own process, with one-to-one review from the trainer and structured peer challenge. Automation tools are demonstrated rather than taught in depth, since the objective is process design judgement rather than tool operation. The session closes with each participant presenting their process design for feedback.
